iCloud Storage Full? How to Free Up Space Fast

This guide shows you exactly how to figure out what is eating your space and how to reclaim it without losing anything important.

🔎 Step 1: Check What Is Using Your iCloud Space

Before deleting anything, see exactly where your storage is going.

On iPhone or iPad:

  1. Open Settings
  2. Tap your name at the top (Apple ID)
  3. Tap iCloud
  4. Tap Manage Account Storage
  5. You will see a color-coded bar and a list of what is using the most space

On Mac:

  1. Open System Settings (or System Preferences on older macOS)
  2. Click your Apple ID > iCloud > Manage

Common space hogs: Backups (often the biggest), Photos, Messages, iCloud Drive, Mail, and WhatsApp/app data.

💾 Step 2: Delete Old Device Backups

iCloud backups are often the single biggest storage consumer — especially if you have backups from old devices you no longer own.

  1. Go to Settings > [Your Name] > iCloud > Manage Account Storage > Backups
  2. You will see a list of all devices with iCloud backups
  3. Tap any old device you no longer use (old iPhones, iPads) and tap Delete Backup
  4. For your current device, tap it to see which apps are included in the backup
  5. Toggle off apps that do not need cloud backup — games with no save data, streaming apps, social media apps all store their data on their own servers
  6. This alone can free up several gigabytes

📸 Step 3: Optimize iCloud Photos

Photos and videos are usually the second-biggest space consumer. Here are your options:

Option A: Keep iCloud Photos but optimize

  1. Go to Settings > Apps > Photos
  2. Make sure iCloud Photos is turned on
  3. Select Optimize iPhone Storage — this keeps smaller thumbnails on your device and full-resolution copies in iCloud
  4. This saves local storage but does not reduce iCloud usage

Option B: Delete photos and videos you do not need

  1. Open Photos and go to Albums > Videos — sort by size to find the biggest files
  2. Delete duplicates — go to Albums > Duplicates (iOS 16+) and tap Merge to remove copies
  3. Check Recently Deleted — photos sit here for 30 days still using iCloud space. Tap Select All > Delete All to free space immediately

Option C: Move photos off iCloud entirely

  1. Download your full photo library to your Mac or PC first
  2. Then turn off iCloud Photos in Settings — choose "Download and Keep Originals" first
  3. Use Google Photos (15GB free) or an external drive as an alternative backup

✉️ Step 4: Clean Up Mail

If you use an iCloud email address (@icloud.com, @me.com, or @mac.com), your emails count against your iCloud storage.

  1. Open the Mail app and check your Junk folder — delete everything
  2. Search for emails with large attachments — type "attachment" in the search bar and sort by size
  3. Delete old newsletters and promotional emails in bulk — swipe through or use "Edit > Select All"
  4. Empty the Trash folder — deleted emails still consume iCloud space until the trash is emptied
  5. Tip: If you use Gmail or Outlook as your primary email, Mail likely is not using much iCloud space — only @icloud.com accounts count

💬 Step 5: Clear Messages Storage

iMessage syncs across all your devices via iCloud, and years of photos, videos, and GIFs in conversations add up fast.

  1. Go to Settings > [Your Name] > iCloud > Manage Account Storage > Messages to see how much space Messages uses
  2. Open Messages and look for conversations with lots of media
  3. Tap a conversation > tap the contact name at top > See All Photos — delete large videos and images you no longer need
  4. Auto-delete old messages: Go to Settings > Apps > Messages > Keep Messages and change from "Forever" to 1 Year or 30 Days
  5. Check the Recently Deleted folder in Messages and clear it

📁 Step 6: Clean Up iCloud Drive

  1. Open the Files app on your iPhone or iPad
  2. Tap Browse > iCloud Drive
  3. Look for large files — old downloads, PDFs, project files, and app data
  4. Sort by size: tap the three-dot menu > Sort By > Size
  5. Delete anything you no longer need — remember to empty Recently Deleted in Files as well
  6. On Mac, check ~/Library/Mobile Documents/ for app data stored in iCloud Drive
