Mac Mail Not Working - Fix Guide
Mail app not sending or receiving emails? Connection errors? Emails not syncing? Here's how to fix all Mac Mail problems.
π Quick Diagnosis
- "Cannot connect to server": Internet or server settings issue
- Emails not arriving: Sync or fetch settings problem
- Cannot send emails: SMTP settings or authentication issue
- Mail app crashes: Corrupted data or outdated software
- Spinning forever: Stuck syncing, needs reset
π§ Fix #1: Check Internet Connection
- Open Safari and try loading a website
- If no internet, fix WiFi first
- Try clicking the WiFi icon and reconnecting
- Restart your router if needed
π§ Fix #2: Force Quit and Reopen Mail
- Press Command + Q to quit Mail
- Or: Apple menu β Force Quit β select Mail β Force Quit
- Wait 10 seconds
- Reopen Mail from Dock or Applications
π§ Fix #3: Take Accounts Offline, Then Online
- In Mail, click Mailbox menu
- Click Take All Accounts Offline
- Wait 30 seconds
- Click Mailbox β Take All Accounts Online
- This forces a fresh connection
π§ Fix #4: Rebuild Mailbox
This fixes corrupted mailbox indexes:
- In Mail, select the problematic mailbox (e.g., Inbox)
- Click Mailbox menu
- Click Rebuild
- Wait for rebuild to complete (may take several minutes)
- Repeat for other affected mailboxes
π§ Fix #5: Check Account Settings
- Go to Mail β Settings (or Preferences)
- Click Accounts tab
- Select your email account
- Verify incoming/outgoing server settings
- Check that password is correct
- For Gmail: Make sure "Less secure apps" is enabled or use App Password
π§ Fix #6: Re-authenticate Gmail/Google
Gmail often needs re-authentication:
- Go to Mail β Settings β Accounts
- Select your Gmail account
- Click the - button to remove it
- Click + to add account again
- Choose Google and sign in with browser
- Grant necessary permissions
π§ Fix #7: Delete Mail Preferences
- Quit Mail completely
- Open Finder, press Command + Shift + G
- Type: ~/Library/Containers/com.apple.mail/Data/Library/Preferences
- Move all files to Desktop (backup)
- Restart Mail
- Re-add accounts if needed
π§ Fix #8: Clear Mail Cache
- Quit Mail
- Open Finder, press Command + Shift + G
- Type: ~/Library/Caches/com.apple.mail
- Delete the contents of this folder
- Restart Mail
π§ Fix #9: Update macOS
- Click Apple menu β System Settings
- Click General β Software Update
- Install any available updates
- Restart Mac
- Try Mail again
π§ Fix #10: Create New Mail Profile (Nuclear Option)
If nothing else works:
- Quit Mail
- Open Finder, press Command + Shift + G
- Type: ~/Library/Mail
- Rename the "Mail" folder to "Mail-Backup"
- Do the same for ~/Library/Containers/com.apple.mail
- Restart Mailβit will create fresh files
- Re-add all your email accounts
Your old emails are still on the server; they'll re-download.

Gmail:
- IMAP: imap.gmail.com, Port 993, SSL
- SMTP: smtp.gmail.com, Port 587, TLS
- Use App Password if 2FA enabled
iCloud:
- IMAP: imap.mail.me.com, Port 993, SSL
- SMTP: smtp.mail.me.com, Port 587, TLS
Outlook/Microsoft 365:
- IMAP: outlook.office365.com, Port 993, SSL
- SMTP: smtp.office365.com, Port 587, TLS
