Mac Mail Not Working - Fix Guide

🔍 Quick Diagnosis

🔧 Fix #1: Check Internet Connection
  1. Open Safari and try loading a website
  2. If no internet, fix WiFi first
  3. Try clicking the WiFi icon and reconnecting
  4. Restart your router if needed
🔧 Fix #2: Force Quit and Reopen Mail
  1. Press Command + Q to quit Mail
  2. Or: Apple menu → Force Quit → select Mail → Force Quit
  3. Wait 10 seconds
  4. Reopen Mail from Dock or Applications
🔧 Fix #3: Take Accounts Offline, Then Online
  1. In Mail, click Mailbox menu
  2. Click Take All Accounts Offline
  3. Wait 30 seconds
  4. Click Mailbox → Take All Accounts Online
  5. This forces a fresh connection
🔧 Fix #4: Rebuild Mailbox

This fixes corrupted mailbox indexes:

  1. In Mail, select the problematic mailbox (e.g., Inbox)
  2. Click Mailbox menu
  3. Click Rebuild
  4. Wait for rebuild to complete (may take several minutes)
  5. Repeat for other affected mailboxes
🔧 Fix #5: Check Account Settings
  1. Go to Mail → Settings (or Preferences)
  2. Click Accounts tab
  3. Select your email account
  4. Verify incoming/outgoing server settings
  5. Check that password is correct
  6. For Gmail: Make sure "Less secure apps" is enabled or use App Password
🔧 Fix #6: Re-authenticate Gmail/Google

Gmail often needs re-authentication:

  1. Go to Mail → Settings → Accounts
  2. Select your Gmail account
  3. Click the - button to remove it
  4. Click + to add account again
  5. Choose Google and sign in with browser
  6. Grant necessary permissions
🔧 Fix #7: Delete Mail Preferences
  1. Quit Mail completely
  2. Open Finder, press Command + Shift + G
  3. Type: ~/Library/Containers/com.apple.mail/Data/Library/Preferences
  4. Move all files to Desktop (backup)
  5. Restart Mail
  6. Re-add accounts if needed
🔧 Fix #8: Clear Mail Cache
  1. Quit Mail
  2. Open Finder, press Command + Shift + G
  3. Type: ~/Library/Caches/com.apple.mail
  4. Delete the contents of this folder
  5. Restart Mail
🔧 Fix #9: Update macOS
  1. Click Apple menu → System Settings
  2. Click General → Software Update
  3. Install any available updates
  4. Restart Mac
  5. Try Mail again
🔧 Fix #10: Create New Mail Profile (Nuclear Option)

If nothing else works:

  1. Quit Mail
  2. Open Finder, press Command + Shift + G
  3. Type: ~/Library/Mail
  4. Rename the "Mail" folder to "Mail-Backup"
  5. Do the same for ~/Library/Containers/com.apple.mail
  6. Restart Mail—it will create fresh files
  7. Re-add all your email accounts

Your old emails are still on the server; they'll re-download.

Gmail:

  • IMAP: imap.gmail.com, Port 993, SSL
  • SMTP: smtp.gmail.com, Port 587, TLS
  • Use App Password if 2FA enabled

iCloud:

  • IMAP: imap.mail.me.com, Port 993, SSL
  • SMTP: smtp.mail.me.com, Port 587, TLS

Outlook/Microsoft 365:

  • IMAP: outlook.office365.com, Port 993, SSL
  • SMTP: smtp.office365.com, Port 587, TLS
